Do I need technical knowledge or programming skills?

Accepted Answer

No. DolmiDesk is a regular web application – you log in through your browser, connect your Google Calendar once, and set up your rates. After that, you turn appointments into assignments with one click – in the Pro package, that too runs by itself in the background.

Question 3

Is there a trial version?

Accepted Answer

Yes. You can try DolmiDesk free for 30 days. If you cancel within that time, it costs nothing; otherwise the trial continues as the plan you booked. The trial is available once per account – if you order again for an existing account, the subscription starts right away (Clause 3.3 of the T&Cs).

How quickly can I get started?

Right after you order: your access is set up automatically, and the email where you set your password usually arrives within a few minutes. Then you connect your calendar, set up your first billing model, and can start importing jobs and creating invoices from them right away.

Does this also work on my phone?

Accepted Answer

Yes. DolmiDesk is a responsive web app and works just as well on your phone as on desktop – with no installation needed. You keep managing your calendar as usual.

Can you help me with setup?

Yes. In the Standard and Pro packages, we go through your settings and the calendar connection together in a personal onboarding session and do a one-time import of your existing clients and invoices.

Which calendars are supported?

Currently Google Calendar. It's connected once via Google login; after that, you turn new appointments into jobs with one click – in the Pro package, DolmiDesk even fetches them on its own. Microsoft Outlook / 365 and Apple iCloud are in the works.

Can I use DolmiDesk with Outlook too?

Not yet – currently only Google Calendar is supported. Outlook / Microsoft 365 and Apple iCloud are in the works.

How often is my calendar data imported?

As often as you like: in every package, you start the sync yourself, see which appointments are new, and choose what becomes a job. In the Pro package, the import also runs on its own in the background – daily, weekly or monthly, however you set it up.

Can I adapt the system to my own prices?

Accepted Answer

Yes. In the billing models, you set your hourly rates, rounding rules, cancellation fees, and travel time and travel expense rates. For each cost bearer, you choose which model applies, and you can change it for individual assignments – DolmiDesk calculates precisely with it.

Can DolmiDesk also calculate cancellation fees?

Yes. DolmiDesk distinguishes between on-site assignments, online appointments, no-shows (travel + fee) and cancellations (fee only) and automatically applies the rates set up for each.

Can I customize the design of my invoices?

Accepted Answer

Yes, in the wording. In the template editor, you write the introduction, the closing text and the wording of every line item yourself, working with placeholders for all invoice data; the preview shows every change right away. The layout – letterhead from your company details, address block, line-item table – is fixed; your own logo and colors are not available at the moment. You can create multiple templates (e.g. JVEG, HessBGGAV) and assign the right one to each cost bearer – including your own text for cancellations, corrections and reminders.

Can I edit the data manually?

Yes. You can edit clients, cost bearers, billing models, and email and invoice templates in the app at any time, and imported assignments too, as long as they have not been billed yet. An invoice, once created, stays as it is (GoBD): when you bill a single assignment, a preview shows you the finished document first; before sending, you adjust the text of the email; and if something in the invoice is wrong, you cancel it and issue a corrected invoice.

Can I track which invoices have been paid?

Yes. Every invoice carries its status – from created, to sent, to paid. You can see outstanding items at a glance. In every package, you create and send payment reminders in three stages with a few clicks; from the Standard package on, they can also go out on their own.

Can DolmiDesk also create e-invoices?

Accepted Answer

Yes. DolmiDesk creates every invoice as ZUGFeRD (PDF/A-3 with embedded XML). The embedded XML follows the XRechnung standard and, for public sector clients, carries the Leitweg-ID.

Can I import the invoices into my accounting software?

Yes. Every invoice is available as a PDF and as an e-invoice in ZUGFeRD format (PDF/A-3 with embedded XML), which common accounting programs can read directly. For handing over to your tax advisor or for audits, there's also a GoBD export as a ZIP.

Can DolmiDesk archive invoices in a GoBD-compliant way?

DolmiDesk stores invoices, each with its e-invoice, and payment reminders in a tamper-proof way and builds a structured GoBD export as a ZIP from them for your tax advisor and tax audits – with payments, the change log and, in the Pro package, the receipts paid in the period. The statutory retention obligation remains yours.

Does this replace my tax advisor?

No. DolmiDesk creates your invoices but doesn't provide tax or legal advice. Responsibility for the content remains yours.

Question 20

Can DolmiDesk create my income statement (EÜR) or VAT return?

Accepted Answer

It doesn't create or file them. In the Pro package, though, DolmiDesk prepares the figures for them: from your invoices and receipts – whose amounts are read automatically – it builds an EÜR statement broken down by the lines of the Anlage EÜR and a VAT overview as the basis for your advance VAT return. You can also hand your receipts to your tax advisor as a DATEV export. Nothing is submitted: you file the returns yourself or through your tax advisor. The Start and Standard packages don't include these tax features; there, you hand over your invoices via the GoBD export. None of the packages replaces a tax advisor.

Question 21

Is my data secure?

Accepted Answer

Yes. DolmiDesk runs on servers in the EU, and the connection between your browser and DolmiDesk is encrypted (TLS). The database is stored encrypted (encryption at rest), and DolmiDesk additionally encrypts sensitive data and files itself, with separate keys for each account. You can secure your account with passkeys and two-factor sign-in, and your calendar is only ever read. DolmiDesk writes to Google only if you switch that on, and then only your orders, into a calendar of its own called “DolmiDesk” – and you choose what they show. For route calculation, the start and destination addresses are sent to the routing provider; if you'd rather avoid that for a particular assignment, you can simply enter the distance and travel time yourself. And a receipt DolmiDesk cannot read on its own, as well as every PDF file without an e-invoice naming the assignments when you import your invoices from an earlier program, is sent for text recognition to the European endpoint of a French provider — the privacy policy has the details.

Do I still need lexoffice, sevDesk or similar?

It depends on the package. In Start and Standard, DolmiDesk handles everything up to the invoice – job, invoice, e-invoice, sending and payment reminders – and hands it over to your tax advisor at the end as a GoBD export; receipts, the EÜR and VAT stay with your accounting software. The Pro package adds receipts with automatic text recognition, an EÜR and VAT overview and a DATEV export of your receipts. DolmiDesk does not submit the advance VAT return itself, though – the overview is the basis for it, not the filing. Since your invoices are created here, you often no longer need the big plan in your accounting software – it's worth checking what you're paying for there.

Why isn't DolmiDesk free?

Running secure infrastructure (hosting in the EU, routing, encryption, backups) and ongoing maintenance cost money. Measured against the 3–6 hours DolmiDesk gives you back every week, it costs, depending on the package, the equivalent of a quarter of an interpreting hour to just over a full one per month.

How does support work?

The manual and FAQ are open to everyone and answer most questions. Beyond that, the packages differ: in the Start package, you report bugs through the contact form, without us committing to a response time. In the Standard package, you get email support with a first response within 3 business days (Monday to Friday, excluding public holidays in Hesse and 24 and 31 December), plus a personal onboarding and the import of your existing data. In the Pro package, you're handled with priority: the first response comes within 24 hours, counted on business days. For Standard and Pro, we also commit to an availability of 99.0 % or 99.5 % a month. If we miss it or a response deadline, you get a credit under the Service Level Agreement.

Question 25

What happens if I use up my assignment quota?

Then you can't create any new assignments that month until you switch to a larger package or your full quota is available again on the first of the following month. That is exactly where we offer you the switch, and the calendar import only lets you select as many appointments as you have slots left. Everything already created stays fully usable: you keep billing existing assignments, and you can cancel, correct and send reminders for invoices without any restriction. Whatever you couldn't create, you catch up on next month – the calendar import currently looks back up to 365 days. Nothing is ever added or billed extra automatically: you decide whether to switch. In the Pro package, this limit doesn't exist at all.
